Excel files grow with embedded images and logos and with poor ZIP compression. This tool recompresses pictures inside the .xlsx and re-packs the whole workbook with maximum compression. Formulas, formatting, charts and sheets are untouched.
What is Compress Excel?
This tool helps you compress Excel file workbooks (.xlsx) by recompressing embedded pictures and re-packing the whole file with maximum compression. Spreadsheets grow when people paste in logos, product photos or screenshots, and even plain workbooks can be saved with weaker compression than they could have, which adds avoidable weight.
Drop the XLSX and download a smaller workbook that is easier to email, sync and share. Formulas, values, formatting, charts, named ranges and sheets are left untouched, and the file opens in Excel, Google Sheets, Numbers and LibreOffice Calc just as before.
How to compress Excel
- Drop one or more XLSX files.
- Pick Balanced, or Strong for the smallest file.
- Download the smaller XLSX. It opens in Excel, Google and LibreOffice as before.
How Compress Excel works
An .xlsx file is a ZIP archive of XML files: one per worksheet, plus shared strings, styles and any charts. Spreadsheet XML is extremely repetitive, with the same tags and cell references on every row, which is exactly the kind of data that DEFLATE compression shrinks well. How well it shrinks depends on the compression level the saving program used.
Pictures are stored separately in a media folder. A product catalogue with a photo on each row, or a dashboard with pasted screenshots, can hold dozens of full-resolution images that appear as tiny thumbnails in cells.
This tool opens the workbook in your browser, resizes oversized JPEG and PNG pictures to the level you choose (2400, 1600 or 1100 px on the longest side), and re-packs everything at maximum DEFLATE compression. The worksheet XML is never edited, so formulas and data are unchanged.
Key features of Compress Excel
Free workbook compression
Compress several spreadsheets in a single run without payment or anything added to your sheets. Process several workbooks in one batch and download them separately or as a ZIP.
Formulas and data untouched
Only image files are re-encoded and the archive is re-packed. Cell values, formulas, formatting, charts, filters and named ranges are kept exactly as they were, so totals and links still work.
Quick on big workbooks
Re-packing and resizing images happens on your device, so a large file never has to be sent anywhere. Most workbooks are done in a few seconds; catalogues with hundreds of photos take a little longer.
Runs in any browser
Use it on Windows, macOS, Linux, Android or iOS in a current version of Chrome, Edge, Safari or Firefox. The compressed workbook opens in Excel, Google Sheets, Numbers and LibreOffice Calc.
Simple accessible controls
There is one labelled setting, Light, Balanced or Strong, operable with the keyboard or a click. Progress is announced to screen readers, and the page works at high zoom and in dark mode.
Financial data stays on your device
Budgets, payroll and sales figures stay on your computer. The workbook is unpacked and re-packed inside the browser, so confidential numbers and customer lists are never sent to a server.
What makes EZ Compress's Compress Excel different
Two kinds of saving
Most tools only zip a spreadsheet again. This one also resizes oversized pictures inside it, which is where large workbooks get most of their weight, then re-packs at maximum compression.
No risk to your numbers
The worksheet XML is never rewritten, so there is no chance of a formula being altered, a link breaking or a date format changing. You get the same workbook, only lighter.
Original kept if no gain
If the workbook is already as compact as it can be, you get your original file back with a short note, rather than a re-saved copy that is no smaller than before.
Why use Compress Excel?
Large workbooks are slow to open, sync and email. An xlsx compressor is the quickest fix when a file with logos or product photos is too big to share. Use it to compress XLSX catalogues before sending them to suppliers, or to reduce Excel file size before uploading to a shared drive or accounting system.
It also helps with workbooks passed around a team for months. Each person may have pasted in screenshots, and compressing once before the next round of edits keeps everyone's copy lighter.
Who can use Compress Excel?
Retail buyers
Shrink product catalogues with a photo on every row so they can be emailed to suppliers and opened quickly on any laptop.
Finance teams
Reduce budget packs and reports with embedded logos and charts before uploading them to shared drives, keeping the figures on your own machine.
Project managers
Compress trackers and status workbooks that collected screenshots over time, so they sync faster and open quickly for the whole team.
Teachers
Compress Excel file mark sheets and resource lists with pictures so they are small enough to share on a school platform or by email.
